Services

Four things, done properly.

We deliberately do fewer things than a generalist VA. Every service below is led by a senior bilingual operator who has done it for foreign companies in Japan — not a script-following call centre agent.

Setup

Expat & Business Setup Support

The unglamorous work that decides whether you actually land in Japan.

Remote support for relocation logistics, utility and phone setup, bank-introduction calls, real-estate inquiries, and getting a child into a daycare list before it closes. Senior, discreet, and project-priced.

  • Relocation and onboarding logistics for expat hires
  • Bank, utility, and mobile phone setup
  • Real-estate inquiry and shortlisting
  • Daycare, school, and ward-office introduction calls
  • Document gathering for visa renewals and updates

Project-priced (from $35/hour under Add-ons); usually 8–20 hours.

Bureaucracy

Admin & Bureaucracy Support

Japanese paperwork, scheduling, and government coordination — finally off your plate.

From ward-office filings and tax-office letters to scheduling and document translation. We also coordinate remotely with your Japanese accountant, lawyer, or judicial scrivener (司法書士) so the loop is always closed.

  • Calendar and meeting scheduling (Japanese counterparts handled in keigo)
  • Translation of inbound mail, contracts, and notices (EN ↔ JA)
  • Government, ward office and tax-office coordination
  • Liaison with your accountant, lawyer, or scrivener
  • Vendor onboarding, hanko coordination, and document chasing

Included in Standard retainers; or one-off projects from $35/hour.

Marketing

Social Media & Community Management

A bilingual Japan-facing social presence — without hiring a full marketing team.

Posting, scheduling, and community management for foreign businesses building visibility in Japan. We draft and translate captions (EN ↔ JA), adapt tone for a Japanese audience, respond to comments and DMs in appropriate keigo or casual Japanese, and keep your content calendar on track — coordinated with your team, not instead of it.

  • Bilingual caption writing and posting (EN ↔ JA)
  • Scheduling across LinkedIn, X, Instagram, and Facebook
  • Comment and DM triage with culturally appropriate Japanese responses
  • Monthly content calendar coordination with your team
  • Profile setup and optimisation for the Japan market

Included in Standard retainers (within monthly hours); profile setup or campaign bursts from $35/hour.

Communications

Business Phone & Reception

A Japanese phone line that always picks up — in flawless keigo.

Inbound reception, outbound calls to vendors, government offices, restaurants, venues and clients, message taking, and warm-transfer to your team. We also place difficult calls on your behalf — the apology call, the negotiation call, the city-office call where one wrong honorific costs you a week.

  • Inbound reception based on your needs and VA availability
  • Outbound calls to Japanese vendors, government offices and partners
  • Restaurant, venue, and travel reservations (including hard-to-book lists)
  • Message capture, summarised in English by the next business hour
  • Optional dedicated Japanese phone number

Included in Starter and Standard retainers; or one-off from $35/hour.

Common questions about our Japan VA services

Straight answers on keigo phone support, scope, and how we differ from offshore VAs or AI tools alone.

What services do you actually offer?

Four focused tracks: Business Phone & Reception (inbound/outbound calls in keigo, reservations, message summaries), Admin & Bureaucracy Support (scheduling, EN↔JA translation, ward-office and tax-office coordination), Social Media & Community Management (bilingual posting and community replies for Japan), and Expat & Business Setup Support (relocation logistics, utilities, real-estate inquiries, daycare and visa document gathering).

Are your calls really handled in keigo (formal honorific Japanese)?

Yes. Every operator is a native Japanese speaker with corporate or hospitality experience and is required to use sonkeigo and kenjougo on business calls. We tier formality to the counterpart — a ward office demands different language than a restaurant reservation.

How does this differ from a generic offshore VA?

Generic offshore VAs cannot place a fluent keigo call on your behalf, cannot read a notice from the tax office, and cannot call a ward office to resolve a complex issue. We can. Our pricing assumes Japan-based, senior bilingual operators — not a low-cost overseas template.

Can AI translation tools replace what you do?

For a quick draft, sometimes. For a keigo phone call to a vendor who owes you an apology, a ward-office escalation, or reading between the lines of a dunning letter — no. We use AI where it helps internally; you get a real person on the line when it matters.

How quickly can we get started?

Most clients onboard in under a week. After the initial consult we send a scoped proposal, sign the NDA and agreement (English and/or Japanese), and assign a single point of contact. Simple phone-reception setups can go live within a few business days.
